Achievements in reporting period:

  • List of activities organised during reporting period
  1. 1st EVN TOG Meeting 17. April.2009 Torun/Poland; 27 participants, 9 countries (DE, FI, IT, NL, PL, SE, SP, UK, USA);
  2. 1st Engineering Forum Workshop, 23-24.June.2009 Göteborg/Sweden; 54 participants, 10 countries (DE, FI, FR, IT, NL, SE, SP, UK, USA, ZA);
  • Meetings attended – both meetings for NA organisation or meetings on behalf of RadioNet
  1. see meetings above
  • Activities for the Engineering Database
  1. a preliminary version of a questionnaire to be distributed among the partners has been issued
  2. all the partners have been asked to provide the contact person for data collection

Problems / Issues

  • Issues - organisational, administrative or other problems foreseen
  1. The meeting in Göteborg was more expensive as assumed, due to the big participants number. However there is no need to worry for the total financial envelope of the WP3-budget.
  2. Local Organisation Costs (LOC) could be smaller if there will be more outreach materials from RadioNet-FP7: e.g. folders, pens, notebooks
  3. Very few answers have been collected in response to the request for a contact person to the database. A different approach will be applied, consisting in a direct visit involving, to a first round, the larger institutes. Then, a final version of the questionnaire will be distributed among the remaining institutes for compilation.
  • Red flags - major problems
  1. It should be clear to all RadioNet-F7 participants that there is an own effort in organisation of a workshop/meeting. Not everything could be paid from the NA budget and not everything can be paid, due to the limited budget. Some financial support from the local organisers could be expected.
  2. The VAT is still an unclear issue to the RadioNet-FP7 partners. I think the decision of the board from 31. March.2009 should be make more clear not only to the board members but also to all partners.
  3. Only two (2) answers have been given in response to the request, sent to all institutes part of Radionet, for a contact person to the database. More participation is therefore hihly desirable. A different approach will be applied as a countermeasure to the actual situation, consisting in a direct visit involving, to a first round, the larger institutes. Then, a final version of the questionnaire will be distributed among the remaining institutes for compilation (presumibly during the second engineering workshop).
  4. There is a problem to view and/or download the PDF files from the wiki page of the Engineering Workshop. That issue was forwarded to the RadioNet-FP7 Management Team and we are waiting for the solution.

Forward Look

  • Plan for next year – 12 months outlook, more detail in first 6 month (including budget for each planned meeting/workshop)

The meetings are orgnised on plan. I can't give any details on the budget of the past and future meetings, since I don't have any end-numbers

  • Expenditures - equipment, material and services

* Some equipment was bought for the smooth and professional organising and running of the TOG and Engineering Forum meetings: a laptop, adapters (VGA, etc), remote control device, back-up disk drive, computer bag. These equipment is available for the speakers during the meeting, is used for the setting the meetings/workshops organisational issues and additionally serve as a storage of all management issues of that work package.
